Step 1 — 🧭 Choose your target healthcare role
Pick 1–2 roles that match your background and desired day-to-day: patient advocate/telehealth support, enrollment specialist, medical records/data entry, or entry-level medical coding. Focusing tight helps you speak the language and gather the right keywords and examples.
Some remote companies restrict hiring to specific U.S. states for compliance. Check each posting before investing time.
Step 2 — ✅ Confirm baseline eligibility & strengths
Assess fit fast: 1+ year similar office/support experience helps, plus HIPAA awareness, medical terminology, strong communication, organization, and Microsoft Office/Excel literacy. Prior data entry, medical billing/coding, administrative assistant, healthcare office, or receptionist experience all transfer well. Many employers train on their systems—show learnability and accuracy.
New or changing fields? Lead with education, standout achievements, and enthusiasm. Show how quickly you learn new tools and processes.

Add columns: Position Name, Job Type, Company Location, Description, URL, Customized Resume (Google Doc link), Date Created, Posted At, Scraped/Found At, First Name, Last Name, Email, Notes, Status.
If you use AI scoring later, reserve columns for: strengths, weaknesses, risk factor, reward factor, overall fit, justification.

Messaging hiring managers on LinkedIn after applying is common and gets buried. Email first. If asked for an application number you don’t have, politely email the recruiting/careers inbox for help.
Step 11 — 🧪 Prep for interviews with research and STAR
Research the company: age, mission, services, and key people on LinkedIn. Re-read the job description and map each requirement to one story.
Answer with STAR: Situation, Task, Action, Result. Share times you solved difficult customer issues, stayed calm under pressure, and went above and beyond. Prepare a crisp “Tell me about yourself.”
Not reading the job description or winging “Tell me about yourself” are top reasons candidates underperform.
Step 12 — 🧰 Get familiar with the tools you’ll use
Support roles often use Zendesk or Intercom for tickets/chat. Basic comfort with browser troubleshooting and log capture helps. For tech-leaning postings, listing familiarity with APIs, SSO basics, HAR files, JSON, and light SQL/Python (only if true) can stand out.
Many employers train on their stack—signal accuracy, documentation habits, and rapid learning.

Start with physical coding manuals; electronic code books don’t replace them for beginners. Learn combination codes (e.g., CKD + hypertension) and follow official coding guidelines. Build small practice exercises and document your logic.
Be wary of certificates that skip coding manuals and focus only on billing. Depth with manuals matters in interviews.

Replace newlines consistently before posting anything externally.
Don’t auto-apply from scrapers (TOS + reputation risk). Use marketplace actors instead of building your own scrapers, and expect an OAuth warning on first Google sign-in—use Advanced → Accept if you created the app.
Step 15 — 🤖 Optional: Score fit and extract contacts (n8n)
In n8n, connect Sheets and OpenAI, then analyze fit and capture contacts in structured fields:
- Google Sheets credential: Create a Google Cloud project, enable Sheets API, configure OAuth consent, create OAuth client, add n8n redirect URI, and paste Client ID/Secret in n8n.
- OpenAI: Create and paste your API key. Add an AI Agent node with system instructions to compare your resume to the JD and output strengths, weaknesses, risk, reward, fit rating, and justification as JSON.
- Extraction: Use an Information Extractor node to pull first name, last name, and email from standardized resume text (mark all required).
- Mapping: Write outputs to dedicated columns in your tracker and review for prioritization.
Test with sample inputs; if errors occur, review recent executions and fix nodes rather than patching code manually.
Constrain each AI node to a single task and use a structured JSON schema so outputs map cleanly to your tracker.
Step 16 — 📅 Align expectations: schedule, follow-ups, and next steps
Confirm you can cover posted schedules (some healthcare support roles include evenings/weekends). Spring Health, for example, lists shifts like 8am–4pm, 9am–5pm, 10am–6pm, and 12pm–8pm ET, and may require one weekend per month and selected holidays (source-reported).
Plan measured follow-ups: 3–5 business days post-application (email), then one more a week later. Update your tracker after every touchpoint and keep your resume and metrics current in case of sudden interviews.
If you need strictly Monday–Friday, verify requirements upfront—some postings explicitly require weekend/holiday coverage.
