What you'll build

A focused, government‑ready job search system: choose your path, build role evidence, track applications, and tailor federal/state resumes and selection criteria with AI assistance. You’ll also set up optional light automation for resume drafts and lead tracking, and run a targeted outreach plan to current civil servants and hiring contacts.

  1. Role clarity (level, series, agency) and 30‑day skill test (for cyber)
  2. Portfolio evidence tailored to the role (SOC/GRC or domain)
  3. Google Sheets tracker + AI‑assisted resume/KSA tailoring
  4. Targeted outreach to insiders; smart post‑application follow‑up
  5. Optional Make.com/n8n workflow to draft resumes and log leads

Step 1 — 🎯 Define your government target

Decide your level (federal, state, local, international), occupation family, and agencies you’d be proud to join. Clarify your 3‑year destination and what work genuinely makes you curious. Read several recent job announcements for your target roles and note recurring duties and keywords.

Tip

Stop asking which path is better—ask which work you want, what evidence you can build in 30 days, what your market wants, and where you want to be in 3 years.

Step 2 — 🧪 Test a role in 30 days (cyber option)

If you’re targeting cybersecurity in government, run a 30‑day test to choose between SOC (blue team) and GRC. Days 1–15 SOC: read five SOC postings; learn basic SIEM/log/phishing terms; complete one defensive lab or log analysis; write a short summary. Days 16–30 GRC: read five GRC postings; learn risk/control/audit/framework terms; create a small risk register or control mapping; write a short summary.

Tip

Don’t pick GRC because it seems easier—strong GRC needs clear writing, evidence, stakeholder skill, and technical understanding. If in Australia, learn Essential Eight, ISM, ISO 27001, privacy, third‑party risk, internal audit, CPS 234.

Step 3 — 🧱 Build role‑appropriate evidence

Create small, explainable projects that mirror duties in announcements. SOC: SIEM or log analysis lab, Windows event log write‑up, phishing analysis, TryHackMe/Hack The Box defensive notes. GRC: mini risk register, basic security policy, mock supplier review, control mapping to a framework. Capture decisions, artifacts, and lessons learned so you can explain the why, not just the what.

Tip

Avoid vague bullets like “completed SOC labs.” Write precise bullets about what you built, what you found, and impact. If you enjoy both SOC and GRC, still build the strongest evidence for one path for 90 days.

Step 4 — 🗂️ Create your application tracker

In Google Sheets, add columns: Position Name, Job Type, Agency/Department, Location, Description/Announcement URL, Customized Resume (Doc link), Date Created, Posted At, Scraped/Found At. Add analysis columns: First Name, Last Name, Email (contact), Strengths, Weaknesses, Risk Factor, Reward Factor, Overall Fit (0–10), Justification. Use one row per announcement to keep your process auditable and repeatable.

Tip

Manually qualify roles; some postings and leads aren’t real fits. Track source URLs so you can revisit and confirm requirements before submitting.

Step 5 — 🔎 Source official openings

Use official government portals first; aggregators can miss details. Create saved searches or alerts by location, series/grade, and keywords. Add promising announcements to your tracker with deadlines and required documents.

PlatformWhat to do in this step
LinkedInFollow target agencies, filter jobs to “Government,” and find current employees in your role for informational chats. Save jobs and export links to your tracker.
IndeedSearch exact job titles plus “government” or agency name; set alerts. Add links to official announcement pages (not just Indeed listings) in your tracker.
Make.comOptionally build a scenario to watch a Google Sheet of target URLs and remind you of closing dates; do not auto‑apply.
n8nOptionally create a workflow to fetch RSS/JSON feeds (where available) from official portals and append them to your tracker.
ChatGPTGenerate advanced Google queries (site filters, filetype) for agency portals and KSAs; paste best results to your tracker.
ClaudeSummarize long announcements into key duties, quals, and KSA prompts; extract closing dates and required docs to your tracker.
Tip

Avoid auto‑applying via scrapers; it risks TOS violations and can damage your reputation. Use automation only for tracking and drafting.

Step 6 — 🧠 Deconstruct each announcement

Highlight mandatory quals, KSAs/selection criteria, specialized experience time‑in‑grade, and required documents. Collect exact keywords and action verbs from duties and KSA prompts (e.g., member support, records management, HIPAA, risk assessment, SIEM). Add them to your tracker for tailoring.

Tip

Not reading the announcement end‑to‑end leads to missing documents or questions—common reasons for disqualification.

Step 7 — 📝 Tailor your resume and KSA responses

Create a government‑style resume (federal resumes are often longer and narrative). Manually reorder experience to mirror the announcement. Weave exact keywords into bullets and KSA narratives. Draft in Markdown ATX for clean conversion to Google Docs. Link to your evidence artifacts where allowed.

Prompt — Federal resume tailoring (USAJOBS)
System: You are a federal resume editor. Follow OPM‑style detail and duty alignment. Output in Markdown ATX with sections and concise bullets.

User: Using the [JOB ANNOUNCEMENT TEXT], tailor my resume for [AGENCY] [SERIES]/[GRADE].
- Base resume:
[BASE_RESUME]
- Announcement text:
[JOB_ANNOUNCEMENT_TEXT]
- Must‑use keywords/competencies: [KEYWORDS]
- Reorder experience to mirror the duties. Quantify impact where possible. Keep clear, specific bullets. Return a complete resume in Markdown.
Prompt — State/local selection criteria (KSA) response
System: You write concise, evidence‑based KSA/selection criteria statements.

User: Draft KSA responses for [AGENCY] role [TITLE].
- Selection criteria/KSA prompts:
[KSA_PROMPTS]
- My relevant examples (STAR outline):
[EXAMPLES]
Rules: 1) Mirror the agency’s language. 2) 200–300 words each criterion unless otherwise stated. 3) Emphasize actions, tools, and measurable outcomes. 4) Output plain text paragraphs.
Tip

Build your resume for the next role, not a recap of the last. Manual ordering beats default reverse‑chron for alignment.

Step 8 — 🤖 Score your fit before applying

Paste the announcement and your resume into an AI model to assess match and gaps. Use a strict JSON schema so you can paste results into your tracker. Act on gaps you can close quickly; park long‑term gaps for later development.

Prompt — AI fit analysis (JSON)
System: Analyze candidate resume vs. job announcement. Return structured JSON only.

User: Compare this resume to this announcement.
- Resume text:
[RESUME_TEXT]
- Announcement text:
[JOB_ANNOUNCEMENT_TEXT]
Schema:
{
  "strengths": ["..."],
  "weaknesses": ["..."],
  "risk_factor": "low|medium|high",
  "reward_factor": "low|medium|high",
  "overall_fit": 0-10,
  "justification": "2-4 sentences"
}
Rules: Be specific; quote matching phrases where relevant; do not include any text outside JSON.
Tip

Constrain AI with a schema. Overloading a single prompt with many tasks reduces quality—separate fit analysis from drafting.

Step 9 — ⚙️ Automate resume drafts in Make.com (optional)

Build a light scenario: when you add a job to your tracker, call OpenAI to tailor your resume and store a Google Doc link back in the row. Keep your own template and let AI fill small portions for consistency.

Flow: Google Sheets (watch rows) → OpenAI (customize resume with system+user prompts) → Google Docs (create doc) → Google Sheets (update row with Doc URL and fit fields). Use a variables/set module to normalize whitespace/newlines for clean output.

Tip

Do not have AI generate entire documents. Keep a locked template; let AI fill role‑specific bullets and keyword weaving for predictability.

Step 10 — 🧰 Or build the workflow in n8n (optional)

Connect Google Sheets via Google Cloud OAuth, add an OpenAI node with your API key, and optionally an Apify node for discovery. Save tailored resumes to Google Drive/Docs and write back links and fit scores to your tracker.

Setup highlights: create Google API project, enable Sheets API, configure OAuth consent, add n8n redirect URI, copy client ID/secret into n8n, and sign in. Add OpenAI credentials (new secret key). If scraping, add Apify API key in the Apify node. Verify the workflow in your n8n dashboard and set required creds.

Tip

Google’s OAuth warning during sign‑in is expected—use Advanced → proceed. Google Drive credential setup is finicky; follow console steps exactly.

Step 11 — 🕵️ Discover roles with Apify (research only)

Use Apify’s Indeed bulk scraper actor to surface leads and then click through to the official agency announcement before tracking. Configure search parameters (title, location, max items) and store results in a dataset. Use “watch actor runs” to trigger downstream steps only when new data is available. For long waits, delay payloads via Hookdeck and forward later.

Apify basics: an Actor is the cloud program, a Task is a configured run, and a Dataset stores results. Keep your target source URLs in your Sheet to update scrapes without editing the actor.

Tip

Never auto‑apply from scrapes. Use scrapers for research; submit through official portals to avoid TOS and reputational risks.

Step 12 — 🧪 Test and harden your workflow

Test with sample inputs. Branch by resume file type (DOCX/PDF/TXT) and use specific extraction logic per MIME type. Add ignore modules to continue on recoverable API errors and break modules to queue retries. Enable storing incomplete executions so you can manually retry. Validate Hookdeck by POSTing to its URL and confirming delayed forwarding.

Tip

Exponential backoff on retries beats linear when rate‑limited. Keep logs and error notes in your tracker to iterate fast.

Step 13 — 📇 Network with insiders the smart way

Before and after applying, request short informational chats with people doing the job. After you submit through the portal, contact: the HR email on the announcement, one person currently in the role, and a team lead. Use multiple channels (email + LinkedIn). Build a warm list and keep notes in your tracker.

Prompt — Informational interview DM
I'd be very interested to get your expert opinion on this industry and where it's going, could you spare some time?
Email — Post‑application note to hiring lead
Subject: [Personalized hook for [Name]]

Hi [Name],

I hope you’re having a good week. I see you might be leading the hiring process at [Agency/Department] and I wanted to personally pass along my resume for the [Position Title] you have open. I’m looking to work under a mission‑driven organization like yours and I would love the opportunity to speak to you and share how my background could be an asset to your team as I’m excited about the possibility of joining.

Hope to hear from you soon,

[Your Name]
Tip

Recruiters are often junior and overloaded. Messaging a hiring manager on LinkedIn after applying is common and easy to miss—use the HR contact in the announcement and targeted insiders.

Step 14 — 📧 Handle logistics and exceptions

If someone asks for an application/reference number you don’t have, email the agency’s recruiting/careers inbox listed on the announcement and politely request it. Keep all confirmations and numbers in your tracker. Check any location/state/citizenship restrictions before spending time on an application.

Tip

Some remote roles restrict eligible states for payroll and compliance. Verify eligibility early.

Step 15 — 🧠 Prep for interviews and assessments

Research the agency’s mission, current priorities, and leadership on LinkedIn and public pages. Prepare a crisp “Tell me about yourself” aligned to the announcement. Bring 3–5 STAR stories showing you solved difficult problems, stayed calm under pressure, and documented outcomes. Map each story to duties or KSAs in the announcement.

Tip

Interviews are brief and humans decide fast—avoid ‘volcano answers’ that hint at unresolved issues. Practice out loud.

Step 16 — 🧾 Make your materials scannable

Hiring teams skim in an F‑pattern. Front‑load the top of your resume with your strongest alignment. Put the best bullet first per role. On LinkedIn, lead the first 100+ characters with proof and a vertical list of core expertise so check‑mark scanning is easy. Quantify impact; if you can’t articulate metrics, you’re invisible.

Tip

Don’t overload LinkedIn with everything. Curate to target roles and make the top visible area do the heavy lifting.

Step 17 — 🧩 Use the right keywords (by role)

Mirror the posting’s terminology in your bullets and KSAs. Examples: healthcare admin—HIPAA, medical records, terminology, customer service, documentation; support/operations—member support, organization, problem‑solving; tech support—Python, Zendesk, Intercom, API reading, JSON, basic SQL. For cyber, reflect SIEM/logs, risk, controls; many listings now reference AI skills—note them if you have evidence.

Tip

Don’t explain features of what you did; explain benefits and outcomes aligned to the mission and user impact.

Step 18 — 📤 Submit complete, compliant applications

Upload all required documents (transcripts, veterans’ preference, SF‑50, etc.) as listed. Link to portfolios rather than attaching large files when allowed. Many agencies train on internal systems—highlight your ability to learn and accuracy if you’re lighter on exact tools. Fresh grads: emphasize education, projects, and durable skills like communication and teamwork.

Tip

Avoid attaching heavy downloadable portfolios; friction reduces viewing. Use accessible links when permitted.

Step 19 — 🔁 Review at 30/60/90 days

At 30 days, decide which work made you more curious, which you could explain most clearly, and which produced stronger evidence. Double down for the next 60 days. Iterate your tracker columns and prompts based on rejections and feedback. Keep outreach consistent.

Mistakes to avoid

⛔
Mass‑applying or auto‑applying

Scraper auto‑applications violate TOS and damage reputation. Submit via official portals only.

🧾
Generic resumes/KSAs

Not mirroring announcement language or failing to provide evidence/metrics leads to fast rejections.

🔍
Skimming announcements

Missing documents, time‑in‑grade, or KSA prompts is a common disqualifier.

💬
Shallow networking

Only messaging hiring managers on LinkedIn is low‑yield. Use HR contacts and insiders.

📈
No projects or impact

Relying on certs/education without projects or measurable outcomes weakens your case.

🛠️
Uncontrolled automation

Not handling file types, retries, or storing incomplete runs makes workflows brittle.

🗣️
Poor interview basics

Not preparing “Tell me about yourself” and STAR stories undermines strong resumes.

🚫
Eligibility blind spots

Ignoring location/state/citizenship restrictions wastes time; verify early.
